Whether you are uploading media to your collaborative Limecraft Workspace or offloading and backing up files using Limecraft Edge, Limecraft provides powerful options to enrich your media with metadata. Adding metadata helps you dynamically organise large quantities of assets, improve your ability to find exactly what you need, and ensure that essential information is available for downstream processing and collaboration.
This article explains:
- How metadata is applied when uploading via the browser or ingesting with Limecraft Edge
- Typical scenarios where metadata is used within Limecraft
- How to configure metadata fields in the Workspace Settings

Before You Begin
To access and edit the metadata configuration settings, you must have Workspace Admin permissions or higher.
Uploading Media via the Browser

When you upload media directly through the browser:
- The metadata fields configured for your workspace become available in the Clip Information panel.
- These fields must be filled in manually by the user during or after upload.
- Some embedded metadata is extracted automatically during upload, including:
- Added Date
- Added By
- Media Start
- Media End
- Media Duration
Common examples of manually filled metadata fields include:
- Shooting Day
- Episode
- Shot
- Take
- Due Date
- Circled Take
- Description
- Tags
- And any other custom metadata configured in the workspace
When viewing library using the Table view, the columns use the metadata fields.

Ingesting Media with Limecraft Edge

When working with Limecraft Edge for ingest, backup, or offload operations:
- Metadata fields are filled in during the ingest or offload process.
- All custom metadata fields configured in the workspace are automatically shown in Edge during import.
- Fields defined in the Edge Metadata configuration are mandatory, as they are used to:
- Build consistent folder and path structures in offload locations
- Maintain a structured and uniform library inside Limecraft Workspace

Edge is best suited for structured or on-set workflows where metadata consistency and automation are critical.
What Metadata Is Used For
Metadata plays a central role in making your media library searchable, structured, and efficient. Examples of what metadata enables include:
1. Creating Group Presets
Metadata fields can be used to automatically group clips, for example by episode, scene, subject, interviewee, or location, making it easy to navigate large catalogues.

2. Filtering and Searching
The search engine and filter panel use metadata to refine results and help users quickly locate specific assets.

3. Automatic Library and Path Structure Creation
Limecraft Edge uses metadata to:
- Build consistent path structures during offload
- Mirror this structure in the Limecraft Workspace
- Ensure predictable organisation across teams and devices
Configuring Metadata Settings for Your Workspace
Important Notice! Do not change the configuration (type, name, or allowed values) of metadata fields that are already in use. Changing existing fields will break metadata paths and may disrupt grouping and ingest workflows.
How to Add or Configure Metadata Fields

- Go to Workspace Settings → Clip Metadata.
- Click 'Add Field' to create a new custom metadata field.
- You can create several types of metadata fields:
Date Field
- Used to capture timestamps such as shoot date, delivery date, or event date.
- Can be configured in Edge to auto-fill today’s date by default.
Yes / No Field
Useful for boolean flags such as Circled Take, Approved, To Review, etc.
Dropdown Field
- Provides a predefined list of values.
- Dropdowns appear in Edge as well, ensuring consistent and error-free metadata entry across all operators.
Managing Existing Fields
- You can delete a metadata field by clicking the red cross (✖) icon next to it.
- You can edit a metadata field by clicking the pen (✏️) icon.
Note:
If you delete any of the built-in metadata fields, they are not permanently lost. You can find and restore them in the 'Add Field' dropdown menu when adding new fields.
